Terms of service
Last updated 21 October 2026
These terms are an agreement between you and MachPilot ("we", "us"), of Mahalunge, Mulshi, Pune 411045, Maharashtra. They cover the MachPilot mobile app, the website at machpilot.in and the account pages on it. Please read them before you use MachPilot. By signing in or paying for a plan, you accept them.
The app is published on Google Play by KinetixIQ Technologies, which builds and maintains MachPilot for us. Your agreement for MachPilot is with us, not with KinetixIQ Technologies or Google.
1. What MachPilot is
MachPilot is software for businesses that hire out earthmoving machines and tippers. It records each day's work, the challans that site engineers sign, bills, payments, expenses and driver pay, and shows reports on them. It is a record-keeping tool. It does not give legal, tax or accounting advice.
2. Accounts
- The owner of a business can create a MachPilot account in the app, with an email address they confirm with a one-time code sent to it; our administrators can also create one for them. The owner then gives each of their drivers a sign-in of their own. Drivers cannot sign up themselves.
- Creating an account in the app, you accept these terms and our privacy policy. We keep the date you did so and the version you accepted.
- You must be at least 18 and must use MachPilot for a genuine business.
- Keep your password private. You are responsible for what is done through your account and the driver sign-ins you create. Tell us at once at support@machpilot.in if you think someone else has used them.
- The details you give us, and the details you enter about your business, must be true.
3. Plans and prices
- A plan is chosen by the size of your fleet: the machines and vehicles you have in use. One you set to Idle in the app is not counted.
- Prices are in Indian rupees and are shown on the Pricing page before you pay. Where MachPilot is registered for GST, the price includes GST and the receipt shows it.
- A plan is paid for in advance for the number of months you choose. We may change prices for the future, but never for a period you have already paid for.
- A new business may be given a free trial. Its length is shown in the app. Nothing is charged when it ends, and no card or bank details are asked for to start it.
4. Paying
- Plans are paid for only on the MachPilot website, through Razorpay, a licensed payment gateway. Nothing can be bought inside the app.
- Your card, UPI or bank details are entered on Razorpay's own page. We never see or store them.
- We never take a payment without you. There is no automatic renewal and no standing instruction.
- A receipt is emailed to you and kept in your account once Razorpay confirms the payment.
5. Changing your plan
If your fleet grows beyond your plan, you can choose a bigger plan on the website at any time. It starts at once, and the days left on your current plan are turned into days on the new one in proportion to the two prices, so nothing you paid for is lost. During a free trial, which has no limits, a plan you buy starts when the trial ends. You can move to a smaller plan the same way once your fleet in use fits it.
The plan you already have can be renewed in its last 7 days, from when its first reminder is sent. The new period starts the day the current one ends, so no day is paid for twice. Before then, the same plan is not sold to you again.
6. When a plan ends
When a plan ends, and any grace period we give with it, your records stay. You can still see, print and download everything. What stops, for you and your drivers, is adding or changing records until the plan is renewed. Work already running at that moment can be finished. We remind you before and after the end, in the app and by email.
7. Cancellation and refunds
Our Refunds and cancellation page explains when a payment is refunded and how to ask. It forms part of these terms.
8. Your records and the people in them
- What you record in MachPilot belongs to you. We keep it and use it only to run MachPilot for you, as our Privacy policy explains.
- You decide what is recorded about your drivers, site engineers, customers and suppliers. You must have a lawful reason to record it and must tell them that you use MachPilot. In particular, tell your drivers that their phone shares its location while they are on shift, and collect identity documents only with their agreement. Only a masked Aadhaar may be uploaded, and only its last four digits are kept.
- Check every bill, challan and report before you rely on it or send it. You are responsible for the bills you issue and the tax on them.
9. Fair use
You agree not to:
- use MachPilot for anything unlawful, or to record anything you have no right to record;
- try to reach another business's records, or get round a plan's limits;
- copy, resell, reverse engineer or disrupt MachPilot, or put malicious code or automated scraping to it;
- share a sign-in between people.
10. Service and support
We work to keep MachPilot available every day and your records safe, and we take nightly backups. We cannot promise that it will never be interrupted, for example during maintenance, or by a failure of our hosting, the internet or a mobile network. For help, write to support@machpilot.in.
11. Services of others
MachPilot works with services run by others: Razorpay for payments, email and WhatsApp for messages to site engineers, and OpenStreetMap for maps. Their own terms apply to their part.
12. Ownership of MachPilot
The MachPilot software, name and logo belong to MachPilot or its licensors. While your account is open, we give you a limited, non-transferable right to use MachPilot for your business. Nothing in these terms gives you any other right in it.
13. Suspension and closing an account
- We may put an account on hold, after telling you why, if it breaks these terms or is used unlawfully, or if we must do so by law.
- You may ask us at any time to delete your account and everything in it. Our Delete your account page explains how. Download what you need first: once deleted, records cannot be brought back.
- If we ever stop offering MachPilot, we will tell you at least 30 days before, leave time to download your records, and refund the unused part of any plan you have paid for.
14. Limits of our liability
MachPilot is provided as it is. We are not liable for losses that come from figures you did not check, from decisions taken on them, or for indirect loss such as lost profit. As far as the law allows, our total liability for any claim is limited to what you paid us for MachPilot in the 12 months before it. Nothing in these terms limits a liability that the law does not allow to be limited.
15. Your responsibility to us
You will make good any loss we suffer because of something you recorded without the right to, or because you used MachPilot unlawfully.
16. Events beyond control
Neither of us is responsible for a delay or failure caused by events outside reasonable control, such as natural disasters, epidemics, war, government action, or a failure of power, networks or service providers.
17. Changes to these terms
We may update these terms. We will show the new date at the top of this page and tell you in the app or by email before a change that affects you takes effect. A change never applies to a period you have already paid for.
18. Law and disputes
These terms are governed by the laws of India. Please write to our grievance officer first; most problems are settled that way. Any dispute that remains is subject to the courts at Pune.
